Description
Provide administrative and operational support to overseas programs, office staff and provide support to FSO.
Job Description:
Support the program coordinators by assisting with the deployment processes for personnel in matters of dealing with training and education, resolution of policy questions, overall deployment problems, and other issues as they are presented
Help FSO maintain personnel security records in JPAS and facility security requirements within NISP
Maintain office visitor control and maintain visitor logs at front desk
Work with deploying personnel to ensure contract required documentation and training is complete, to include as needed: getting appropriate visas, submitting for LOAs, facilitating training, collecting supporting documentation, etc.
Coordinate with PMs, the deploying personnel, and travel agencies, travel managers, and travel vendors to secure travel and lodging (if necessary) for deploying personnel
Collect data, analyze and prepare memorandums and reports in response to questions and concerns from PCs and Senior Management efficiently and professionally
Assist in developing reports that track trends and suggest areas for improvement
Assist in employee onboarding by conducting PROCAS training sessions
Uses excellent proactive communication and customer service skills to interface with deploying personnel, co-workers, management and vendors via telephone or email; manage database records; draft status reports on customer service issues; keep manager apprised of daily activities.
Basic Qualifications:
Bachelor’s degree or relevant work experience
1 to 2 years related experience
Proficient with Microsoft Word, Microsoft Excel, and Microsoft PowerPoint.
Excellent presentation, communication, and interpersonal skills
Highly organized, team-oriented, enthusiastic, independent thinker, and collaborative
Preferred Qualifications:
Prior experience in government contracting
Previous experience in facility security and NISPOM
Previous experience in Program Support or Deployment Specialist position, deploying personnel to OCONUS locations
Previous IC or DoD interaction/service and support experience
